Membership

Membership Is How You Join the PromoTron Network

A membership gets your range listed across the network and keeps your prices, stock and products current. Distributors can find you, quote you and sell you from the day it starts.

The PromoTron Network drawn as a glowing hub: a circle carrying the network's name and three lines of what it keeps current — products, prices and stock. Connected to it on the left are floating product cards for an insulated bottle, a ceramic mug, a notebook and a cap, each with its code, unit price, in-stock marker and colour options, and below them the physical branded goods themselves — bottle, tote bag, cap, mug, polo shirt, notebook and pen, all carrying a customer logo. On the right the same range reaches the demand side in three panels: a supplier and product search, a distributor webshop with a price and an add-to-cart button under each product, and a quotation listing the same products with quantities and a send button.

What to expect

What Changes When You Join

A membership is not a technical connection you buy. It is a place in a network distributors already work in, and data a distributor can trust on the day of the quote.

Your range appears in the network

Your products, prices and stock become visible in the systems distributors use every day, so any distributor on the network can add you as a supplier and start selling your range.
  • More visibility

No integration project per distributor

A distributor does not import your range, map it or build anything to sell it. Your connection to the network already serves every distributor in it, so adding you is not an IT project on anybody's side.
  • Lower friction

What a distributor quotes from stays current

The prices and availability a distributor quotes are the ones you last sent us, refreshed at the frequency your tier sets. Out-of-date data is the fastest way to lose a distributor you have just won.
  • Always up to date

You are there at the moment of sourcing

A distributor searching the connected catalogue meets your range at the moment of looking for a product like yours, rather than when your name happens to come to mind.
  • In the right moment

Being listed does not, on its own, make distributors ask for you. Where your brand is already known the listing does much of the work; where it is new it does less, and closing that gap is what Promo Campaigns are for.

How joining works

What Joining the Network Involves

Membership is what you are here for. An integration is what it is applied to, so that comes first — and once both are in place, campaigns are how you go further.

  1. Integration

There is no membership without one, so this is where it starts. You choose how deeply your data connects, from products, prices and stock up to order automation, and pay a one-time fee for the levels you take.

    See the levels
  2. Membership

The goal: listed across the network, with your data kept current, checked and supported. Your tier sets how complex it can be, how often we refresh it, how closely we check it and how quickly we answer you.

    What membership covers
  3. Promo Campaigns

Being current is not the same as being noticed. Campaigns put your range in front of the distributors on the platform, and holding a membership is what makes you eligible to buy one.

Membership

Your Data Is Only Updated While You Have a Membership

Prices change, stock changes and your range changes. Without a membership, what reached us on integration day is what distributors keep seeing.

Two stacked browser windows showing a page of placeholder rows, with a yellow warning triangle over the corner of the front one.

Out-of-date data creates real risks

Out-of-date information can cost you sales

If your data isn't updated, distributors may quote old prices, show products that are out of stock, or miss your latest ranges. That leads to confusion, lost opportunities and extra work for your team.

  • Stock Moves Faster

A product a distributor sells this morning can be gone by the afternoon.

    • Availability stays accurate
    • Refreshed as often as your tier sets
  • New Products Keep Arriving

New products, discontinued lines, new colours and sizes.

    • Your newest products show up
    • Distributors see the current version
  • Data Needs Checking

Feeds break, mappings slip and images go missing.

    • Caught before a distributor does
    • Fixed on our side, not yours

Why membership

What Your Membership Decides

A membership is not a badge. It is the service that keeps your data current, checked and supported, and the tier you hold decides four things about how we work together.

  1. How complete your data can be

From ten price lists at Premium to as many as you need at Platinum, with individual customer prices and regional restrictions.

  2. How often we refresh it

Every two weeks at Premium, within 24 hours at Platinum; stock moves from every four hours to every few minutes.

  3. How closely we check it

Manual checking, mapping and enhancement is membership work. We fix what does not map and improve what is thin.

  4. How quickly we answer you

Requests and issues are handled in the order your membership sets, so a problem with your range is not queued behind everything else.

Promo Campaigns

Current Data Still Needs Promoting

Membership keeps your range accurate in the network and makes you eligible for the next step. It does not, on its own, tell distributors you are there — Promo Campaigns do that, and they are open to members.

Comes with your membership

Choose How Deeply Your Data Connects

Every membership comes with an integration, and Level 1 is what being listed actually means. What you choose here is how much further it reaches — each level opens up more of the platform for your range, and each is a one-time fee. Start where it makes sense; you can build up over time.

  1. Level 1

    Products, Prices and Stock

Add your range, pricing and stock so distributors can sell with confidence.

    Unlocks in

    TronShopTronManager
    Customers can buy your products

    Why it matters

    • Reach more distributors

Any distributor on the platform can add you as a supplier and start selling your range.

    • Less repeated data work

A structured connection replaces the import, mapping and maintenance each distributor would do separately.

    • Changes travel once

A new price, a stock figure or a new product reaches every connected system at the same time.

    • Consistent product information

Your range is standardised into a structure distributor systems can read.

    What's included

    • Product data

Products and variants, names and descriptions, colours, sizes and attributes.

    • Images, prices and stock

Product images, price lists for the regions you sell in, and stock availability.

    • The feed itself

CSV, XML or JSON, over an API or a scheduled feed — in the shape you already have.

    Effort & timeline

    Typical timeline
    1–2 weeks
    Price
    €500–700One-time fee

This is where it starts rather than where it pays off.A distributor can sell the product, but cannot yet price a print on it or show a customer their logo on it.

  2. Level 2

    Print Options and Print Pricing

Let customers configure print, see pricing and order online.

    Unlocks in

    TronCalculatorTronLogo 2.0TronDesigner
Customers can configure print and see pricing

    Why it matters

    • Orderable at any hour

A printed product can be configured, priced and ordered online without waiting for your team.

    • Show real pricing

Accurate pricing builds trust and reduces back-and-forth.

    • Reduce manual work

Print calculations run themselves, and quotations stop waiting on your team.

    • More control, less guesswork

You set the rules for print positions, colours, quantities and pricing logic.

    What's included

    • Print configuration

Print positions, maximum sizes, numbers of colours and technologies, per product.

    • Pricing logic

Set-up charges, quantity breaks and decoration pricing, in your own calculation rules.

    • Seamless experience

Print options integrated into the shops and quoting tools distributors already use.

    Effort & timeline

    Typical timeline
    2–3 weeks
    Requires
    Level 1(Products, Prices and Stock)
    Price
    €800–1,700One-time fee

This is the level to reach if you want customers to configure print and see accurate prices online. It opens up self-serve ordering and takes the manual quoting off your team.

  3. Level 3

    Logo Visualisation

Let customers see their own logo on your products before they order.

    Unlocks in

    TronLogo 2.0
Customers can see their logo on it

    Why it matters

    • Faster decisions

A customer who can see the branded product commits sooner.

    • Better presentation

An offer shows three products carrying the customer's own logo instead of three blank ones.

    • Fewer mock-up requests

Simple visuals stop coming back to your team as email requests.

    • Less early sampling

A physical sample can wait until the order is real.

    What's included

    • Visualisation setup

The decoration surface and print areas set on your real product images, in perspective.

    • Built on your print data

It uses the print positions already structured at Level 2.

    • Photography check

One product per image, no existing branding, and at least about 600px on the shorter side.

    Effort & timeline

    Typical timeline
    1–2 weeks
    Requires
Levels 1 and 2(products and print data)
    Price
    €200 + about €0.75 per productOne-time fee

A promo campaign reaches its full effect from this level.Below it a campaign still runs, but a distributor who meets your range through one cannot show the end customer what it looks like branded.

  4. Level 4

    Web2Print and Production Artwork

Turn customer artwork into production-ready data without manual preparation.

    Unlocks in

    TronDesigner
    Artwork arrives production-ready

    Why it matters

    • Logos arrive usable

A customer's logo is vectorised, cropped and put into Pantone or CMYK before anything is produced from it.

    • Your print rules hold

Position, scale, colours and maximum sizes sit against your own products, so every job is made to the same rules.

    • Proofs come from your data

A proof is generated from the print coordinates set up at this level rather than drawn by hand for each order.

    • One setup, several places

The same print data serves your own team, your webshop and your ERP or CRM.

    What's included

    • Artwork processing

Upload, vectorisation, cropping, background removal and colour editing.

    • Production data

Pantone and CMYK handling, positioning, scaling, proofs and print-ready output.

    • Where it runs

Standalone for your own team, embedded in your webshop, or behind your ERP or CRM.

    Effort & timeline

    Typical timeline
    3–6 weeks
    Requires
Level 1 and print data from Level 2(Level 3 is not needed)
    Price
From €200One-time setup feeRunning cost on the TronDesigner price list

Level 4 does not need Level 3 — the two answer different questions.Level 3 is fast virtual sampling for the sale; Level 4 is artwork processing and production preparation.

  5. Level 5

    Order Automation (API)

Let orders reach your ERP without anyone retyping them.

    Orders arrive in your ERP

    Why it matters

    • No manual order entry

The order a distributor creates continues into your systems as it is.

    • Fewer transcription errors

Nothing is retyped, so nothing is mistyped.

    • Scales with volume

Order administration stops growing with the number of orders.

    • Status flows back

Order status and shipping information return along the same connection.

    What's included

    • Order transfer

Purchase orders, products, quantities, customer references and delivery information.

    • Branding and artwork

Branding information and artwork references travel with the order.

    • Scoped to your ERP

We review your API documentation first and define the scope individually.

    Effort & timeline

    Typical timeline
    4–8 weeks or more
    Requires
    Level 1(no other level needed)
    Price
    On request

This one needs only Level 1, so it can be implemented on its own.It pays off for suppliers with an ordering API, higher order volumes and real order-administration costs.

Your data or IT team can read what each level asks of your systems — feeds, fields, formats and refresh rates — before you commit to one. Technical documentation for each level

The integration process

It Starts With a Free Data Analysis

You decide the scope before anything is built, and we work with the data you already have rather than asking you to produce something new.

  1. You

    Pick your levels

Mark the levels above that fit your range. Nothing is committed yet.

  2. Together

    Talk it through

One call: what data each level needs, and what it changes for distributors.

  3. You

    Send your data

Your API, or the files you already use. Nothing structured yet? Use our template.

  4. PromoTron

    Free data analysis

We check what your data supports, then come back with scope, cost and what to fix.

  5. You

    Approve the scope

Nothing is built and nothing is charged until the scope and price are agreed.

  6. PromoTron

    Build and go live

Two to four weeks, depending on scope. Your range goes live and stays current.

Pricing

What It Costs to Join

Two things to pay for, and they are paid differently. The integration is a one-time fee, charged once when we connect your data. The membership is the monthly part, and it is the one that keeps working after that.

Step 1 · One-time

Integration

From €500one-time fee, per level

A one-time fee, per level you take. Level 1 is required and the rest are optional, so what you pay depends on how far you go. The figure is confirmed after a free analysis of your data, and nothing is charged before you approve the scope.
